Returns are part of selling online, especially in apparel, footwear and anything with sizing. How they are handled decides whether the customer buys again and how much of the original margin survives. A return that becomes an exchange keeps the revenue. A return that sits in a warehouse queue while the customer waits for a refund costs you the next order as well.
Returns management covers the policy, the customer-facing portal, the rules behind it and the connections that let warehouse, finance and support teams see the same information.
What we set up
- Self-serve portal. Customers start a return or exchange from their order without contacting support, with clear options and shipping labels.
- Exchange-first options. Variant swaps, exchanges for different products and bonus store credit offered before a refund.
- Rules and policies. Return windows, final sale items, fees and reason-based rules set to match your policy and margins.
- Warehouse and inventory. Returned items routed, inspected and restocked, with inventory updated in the system of record.
- Finance and ERP. Refunds, credits and exchanges reconciled with your ERP and accounting.
- Return reasons. Structured reason data captured and reported back to merchandising and product teams.
Platforms
For Shopify Plus brands we often implement Loop, which is built around exchanges and store credit rather than straight refunds. For other platforms, and for B2B or retail returns, we look at native platform tools and other returns software, then integrate whichever fits your operation.
Using the data
Return reasons are some of the most useful product feedback a brand collects. Sizing complaints, quality issues and misleading photos show up in returns well before they show up in reviews. We set up reporting so return rates by product, reason and channel reach the people who can act on them, whether that means fixing a size chart or talking to a supplier.
Support teams benefit too. When the portal handles routine returns, agents spend their time on the exceptions that need a person.
Returns management is part of our ecommerce maintenance and support service. It depends on clean connections to your order management and fulfilment systems and ERP integration, and follow-up messages after a return can run through lifecycle marketing.
